POSITION SUMMARY: 

Broad Street Love seeks an experienced, strategic, and highly organized Director of Operations and Administration to oversee the organization’s administrative functions and operational infrastructure. Reporting directly to the Chief Operating Officer, this position plays a critical role in ensuring that organizational systems, processes, and resources effectively support Broad Street Love’s mission and strategic goals.

The Director of Operations and Administration provides leadership across administrative operations, facilities management, organizational policies and procedures, technology coordination, risk management, vendor relationships, and special projects. The position serves as a key partner to the COO in driving operational excellence, organizational effectiveness, and continuous improvement across the agency.

DUTIES AND RESPONSIBILITIES: 

Operational Leadership

  • Partner with the COO to develop and implement operational strategies that support organizational priorities and growth.
  • Lead continuous improvement initiatives to enhance efficiency, effectiveness, and service delivery across departments.
  • Develop, document, and maintain organizational policies, procedures, and administrative systems.
  • Monitor operational performance and recommend improvements to organizational processes.
  • Support agency-wide planning and implementation of strategic initiatives.

Administrative Management

  • Oversee day-to-day administrative operations and ensure smooth functioning of organizational support services.
  • Supervise administrative staff and other operational support personnel as assigned.
  • Establish and maintain systems for document management, records retention, and organizational compliance.
  • Ensure effective management of office operations, supplies, equipment, and administrative resources.
  • Develop and maintain organizational calendars, operational workflows, and administrative standards.

Facilities and Asset Management

  • Oversee facility operations, maintenance, safety, and security for all Broad Street Love locations.
  • Coordinate vendor relationships, service contracts, and facility-related projects.
  • Ensure compliance with applicable building, safety, and regulatory requirements.
  • Manage organizational assets, equipment inventories, and property records.
  • Coordinate space planning, space rentals, and workplace improvements to support staff and program operations.

Technology and Systems Coordination

  • Serve as the primary liaison with external technology vendors and managed service providers.
  • Partner with leadership to assess technology needs and implement solutions that improve efficiency.
  • Support organizational cybersecurity, data management, and technology policies.
  • Coordinate implementation, training, and maintenance of operational software systems.
  • Ensure staff have access to the tools and resources needed to perform their work effectively.

Compliance and Risk Management

  • Assist the COO in maintaining compliance with organizational policies, regulatory requirements, and nonprofit best practices.
  • Support risk management initiatives, including insurance administration and incident reporting processes.
  • Coordinate organizational audits, assessments, and compliance reviews as assigned.
  • Maintain organizational records and documentation required for compliance and accreditation purposes.

Human Resources Support

  • Partner with Human Resources and leadership to support onboarding, offboarding, and employee experience initiatives.
  • Assist with administration of employee benefits, workplace policies, and procedures.
  • Support staff training initiatives related to organizational systems, compliance, payroll processes, and operations.
  • Promote a positive, inclusive, and collaborative workplace culture.

Payroll Administration

  • Process biweekly payroll, ensuring the accurate and timely payment of all employees.
  • Review, verify, and maintain payroll data, leave balances, new hires, terminations, salary adjustments, and benefits deductions.
  • Maintain accurate payroll and personnel records while ensuring the confidentiality of employee information.
  • Serve as the primary point of contact for employee payroll inquiries and resolve payroll-related issues in a timely manner.
  • Prepare and submit payroll reports and supporting documentation as required.
  • Collaborate with the Finance Department to ensure payroll expenses, deductions, taxes, and related reporting are accurately recorded and reconciled.
  • Ensure payroll processes comply with organizational policies and applicable federal, state, and local regulations.
  • Support payroll audits and provide documentation and records as requested.

Budget and Vendor Management

  • Review and manage operational expenditures within approved budget parameters.
  • Negotiate and oversee vendor contracts and service agreements.
  • Ensure cost-effective procurement practices and vendor performance management.

Supervisory Responsibilities

  • Directly supervise administrative and operations staff as assigned.
  • Foster a culture of accountability, collaboration, and continuous improvement.

QUALIFICATIONS AND SKILLS:   

Required

  • Bachelor’s degree in Business Administration, Public Administration, Nonprofit Management, Operations Management, or a related field.
  • Minimum of 5–7 years of progressively responsible operations, administration, or organizational management experience.
  • Minimum of 3 years of supervisory experience.
  • Demonstrated success managing complex projects, systems, and organizational processes.
  • Strong knowledge of administrative operations, facilities management, and organizational compliance.
  • Exceptional organizational, analytical, and problem-solving skills.

Preferred

  • Experience in a nonprofit, human services, or mission-driven organization.
  • Experience managing facilities, technology vendors, and organizational compliance initiatives.
  • Familiarity with nonprofit governance, grant compliance, and operational best practices.

Compensation: $90,000 annually, + benefits.
