Job Title: Volunteer & Development Coordinator

Position Type:   Full-time, exempt, 100% in-office 

Reports to: Director of Development

Salary: $55,000/year + benefits

POSITION SUMMARY: 

The Volunteer & Development Coordinator is responsible for leading the volunteer program,  managing in-kind donations, and supporting fundraising and marketing goals of the  organization. This includes recruitment, management, training, and increasing engagement of  volunteers, along with helping to grow philanthropic commitments spurred by volunteers and  volunteer groups. This is a collaborative role that intersects with all departments across the  organization.  

ESSENTIAL FUNCTIONS & RESPONSIBILITIES


Volunteers:

  • Ensure and promote a volunteer experience that is true to BSL’s ethos of Radical Hospitality.
  • Develop and implement methods of recruitment, orientation, training, retention, and evaluation for volunteers and the volunteer program.
  • Work with direct services to ensure volunteers are scheduled to meet the departmental needs.
  • Supervise volunteers, nurture their ongoing safety and comfort, and kindly maintain respectful relationships between volunteers, staff, and guests to ensure established procedures and policies are followed—and amended when appropriate.
  • Spearhead creative solutions to establish volunteer leadership to: avoid gaps in volunteer coverage; ensure consistent, quality services for guests; and foster a meaningful experience for volunteers and staff.
  • Oversee volunteer management software—Volunteer HUB—including but not limited to: volunteer registration, volunteer check in, tracking of volunteer hours, updating volunteer recurrence templates, and adjusting shift needs as necessary.
  • Ensure that volunteer information is entered into Raiser’s Edge (CRM platform) in a standardized, timely, and accurate manner.
  • Work closely with the Director of Development to create marketing materials and plans to promote volunteerism.
  • Schedule volunteers from corporate and community organizations, schools, and faith institutions.
  • Administer and monitor expenditures for the volunteer program against the approved budget; assist in creating the annual volunteer program budget.
  • Work with the Director of Development to create and implement stewardship strategies that inspire volunteers to donate money and in-kind contributions, and to become more deeply involved in other BSL opportunities.
  • Plan and implement formal and informal volunteer appreciation activities and events to recognize the contribution of volunteers to the organization.
  • Create and conduct an annual volunteer survey.
  • Return all inquiring emails and phone calls in a timely manner.
  • Manage conflict resolution and cooperation among BSL’s guests, staff, and volunteers.
  • Triage guest concerns and connect them to resources, BSL partner services, and Concierge staff.
  • Conduct ongoing evaluation of the services delivered by volunteers and implement improvements as necessary.

Communications & Fundraising:

  • Oversee BSL’s in-kind donation program.
  • Manage all volunteer communications, including but not limited to scheduling and shift information, acknowledgements, and volunteer stewardship.
  • Manage external community communications, including service updates, coordination of community resources, general inquiries, and announcements.
  • Update all communications and collateral and create additional marketing materials, as needed, in accordance with brand guidelines.
  • Create marketing materials and plans for promoting volunteerism at BSL with corporate and community organizations, schools, and faith institutions to grow volunteer base.
  • Participate in public speaking and tabling opportunities on behalf of BSL.
  • Contribute content to highlight the volunteer program in e-newsletter articles, social media content, and storytelling.
  • Lead the creation of a new affinity group to deepen external engagement of BSL’s mission through an annual signature fundraising event.
  • In cooperation with the Development Team, achieve established goals in the annual Advancement Plan.

  • Previous experience with volunteer management preferred.
  • Computer Skills Required: Google Office Suite, and relational databases (experience with Volunteer HUB a plus).

  • Strong communications, public speaking, and presentation skills.
  • Effective team-building and conflict-resolution skills.
  • Able to relate to people from diverse backgrounds.
  • Strong organization and time management skills.
